Applicant Board Automations help streamline your hiring workflow by automatically moving candidates, triggering actions, and organizing your pipeline based on predefined conditions.
Using Nodes, you can customize how candidates progress through your hiring process without manual work.
What are Automations?
Automations are workflow rules that perform actions automatically when a specific condition is met.
Examples:
- Move candidates to another stage
- Send interview invitations
- Trigger AI interviews
- Reject unqualified candidates
- Notify team members
Automations help reduce repetitive manual tasks and speed up hiring workflows.
What are Nodes?
Nodes are the building blocks of an automation workflow.
Each node represents:
- A trigger
- A condition
- Or an action
Nodes are connected together to create a workflow.

Types of Nodes
Trigger Nodes
Trigger nodes start an automation.
Examples:
- Candidate applied
- Candidate moved stage
- Interview completed

Condition Nodes
Condition nodes evaluate candidate data or workflow criteria before continuing.
Examples:
- Candidate score above 80%
- Candidate located in specific country
- Application includes required experience

Action Nodes
Action nodes perform tasks automatically.

Wait Node
The Wait node pauses the automation flow for a specific amount of time or until a defined event occurs.
This is useful when you want to delay actions or wait for candidate activity before continuing the workflow.
Common use cases
- Wait 24 hours before sending a reminder
- Pause until an interview is completed
- Delay candidate stage movement
- Wait for recruiter review

Stop Node
The Stop node pauses the automation and sends the candidate flow for manual review.
Once a workflow reaches a Stop node, no additional automated actions will occur unless a user manually continues the process.
Common use cases
- Manual recruiter review before rejection
- Human approval before moving candidates
- Final hiring decision checkpoints
- Escalating edge cases to the hiring team

Managing Flow Automations from the Applicant Board
Edit flow automations
You can directly manage automation workflows connected to a specific column.
This allows you to:
- Edit triggers
- Update conditions
- Modify actions
- Adjust candidate movement logic
To edit a workflow:
- Open the three-dot menu
- Click Edit flow automations

Run an automation
The Run automation option allows you to execute a workflow for all applicants currently in a column.
This is useful when:
- A new automation was added after candidates already existed in the stage
- You want to bulk-trigger workflow actions
- You need to apply updated automation logic retroactively
Example
If a new AI Interview automation is added to the “Applied” column, running the automation will trigger the workflow for all existing applicants in that stage.
To run an automation:
- Open the three-dot menu
- Click Run automation
- Confirm the action

How to create an automation
1. Open the Applicant Board
Navigate to the role where you want to configure automations.

2. Open Automations
Click the Automations option within the Applicant Board.

3. Add a trigger node
Select the event that should start the workflow.
Example:
- Candidate applied

4. Add conditions (optional)
Use condition nodes to filter candidates before actions are triggered.
Example:
- Only continue if candidate score is above 75%

5. Add action nodes
Choose what should happen automatically.

- Notify recruiter

6. Save and activate the automation
Once your workflow is complete:
- Click Save
- Enable the automation
Your workflow will now run automatically for future candidates.
